This policy explains how we collect, use, store and disclose personal information when you visit axiomagentic.net, enquire about or use our services, or interact with our AI receptionist (inbound or outbound calls).
2. The information we collect
- Contact & business details you give us: name, business name, phone, email, address, ABN.
- Call information: phone number, call time/duration, and a transcript of the conversation with our AI assistant. We use transcripts, not stored audio recordings, after initial setup.
- Usage data: how you use our website, via privacy-respecting analytics.
- Customer data we process for clients: when you're our client, we process your customers' contact details and enquiries inside the CRM to deliver the service.
3. How we collect it
Directly from you (forms, calls, email), automatically (website analytics), and — for our clients — from leads and customers who contact your business through our system.
4. Why we use it
To respond to enquiries; provide and operate the AI receptionist, booking, follow-up, review and related services; improve our service; send service updates; and meet legal obligations. We rely on your consent and our legitimate business interests, consistent with the APPs.
5. AI calls and disclosure
Our reception and outbound calls are made by an AI assistant that identifies itself as AI at the start of the call, in line with Australian consumer law. You can opt out at any time and we will honour it.
6. Who we share it with
We use trusted third-party platforms to deliver the service (CRM, telephony/voice, automation and AI providers). They process data on our behalf under their own security and privacy terms. We do not sell your personal information. We may disclose information if required by law.
7. Storage & security
We use reputable cloud providers and apply safeguards including access controls and two-factor authentication. No system is perfectly secure, but we take reasonable steps to protect your information and we follow a data-breach response process consistent with the Notifiable Data Breaches scheme.
8. Overseas disclosure
Some providers store or process data outside Australia. Where this happens, we take reasonable steps to ensure your information is handled consistently with the APPs.
9. Your rights
You can ask to access or correct your personal information, withdraw consent, or opt out of communications. Email admin@axiomagentic.net and we'll respond within a reasonable time.
